Below are the required changes with your email apps after migrated to Exchange Online. Please refer to the web page Exchange Online for Staff and How to access your Exchange Online mailbox for more information.

In case you will beed to specify the outgoing email server, please use the following SMTP server as below:
- Server: outlook.office365.com
- Port: 587
- Encryption method: STARTTLS
- Authentication: OAuth2
After migrated to Exchange Online, please check if any legitimate email goes to the Junk Email folder, say for two weeks’ time. Please adding senders to the Safe Sender’s list if necessary. If you cannot connect to any shared calendars after migrated, please contact of the owner of the calendar to share the calendar again.
Outlook on the web
- Access to Outlook on the web at https://outlook.com/owa/ust.hk, or via the Staff Intranet / Student Intranet or the button below:
- After migrated to Exchange Online, you might need to wait for a couple of hours or even a day before you can access to Outlook on the web. Please close your web browser and try again later if you see Almost there...
- Please type your email address and password when prompted
- Continue with 2FA sign in when prompted
- Select the correct time zone (e.g. UTC+8:00 Beijing, Chongqing, Hong Kong, Urumqi) and start using Outlook on the web
- Take note on Focused Inbox for Outlook
Outlook for Windows
- After migrated to Exchange Online, you will be prompted to restart your Outlook 1 to 2 times depending on your Outlook version.
- Please sign in using your email address and password. You should be able to access your mailbox if you are using Outlook for Office 365, Outlook 2016 or Outlook 2013 / Outlook 2010 (Outlook 2010 will not work on Win 7 after migrated and both Outlook 2013 and Outlook 2010 will soon be decommissioned).
- If the sign in prompt is HKUST\username, please select Use a different email address and type your email address (username@ust.hk) and password
- If you are using the latest version Outlook (Office 365 ProPlus), you will be prompted Use this account everywhere on your device. Just click Yes so that when you sign in from that device, it does not keep prompting you for credentials across other Office applications. You may also uncheck the option Allow my organization to manage my device before clicking Yes if you don't mind typing your credentials again for signing in.
Outlook 365 ProPlus
- If the sign in prompt is HKUST\username, please select Use a different email address and type your email address (username@ust.hk) and password
- If your Windows machine has joined the HKUST Windows Domain and you cannot access to your mailboxes using your email address and password, you will need to create a new Outlook profile or add the newly migrated account.
- If the migrated account is the primary account in your Outlook, create a new Outlook profile.
- Add additional accounts if necessary
- Remove the old profile and data files if necessary (e.g. you want to free up your local disk spaces).
- If the migrate account is not the primary account, you can just remove the pervious email account and add the newly migrated email account again.
- Open Outlook
- Select File
- Select Account Settings...
- Use New... to add or Remove... to delete an email account
- If the migrated account is the primary account in your Outlook, create a new Outlook profile.

IMAP Clients
- Add a new email account using the following settings:
- Incoming Server:
- IMAP Mail Server: outlook.office365.com
- Port: 993
- User Name: your email address (with @ust.hk)
- Connection security: SSL/TLS
- Authentication: OAuth2
- Outgoing Server
- Server Name: outlook.office365.com
- Port: 587
- User Name: your email address (with @ust.hk)
- Connection security: STARTTLS
- Authentication: OAuth2
- Incoming Server:
- Messages will be download again after migrated to Exchange online. Please wait patiently for the initials downloads if you have large mailboxes.
POP Clients
- If you are using the POP connection with email tools like Eudora, etc., please disable the option "Leave Message on Server" on your email client before the migration in order to avoid messages downloading to your email app again.
- Add a new email account using the following settings:
- Incoming Server:
- IMAP Mail Server: outlook.office365.com
- Port: 995
- User Name: your email address (with @ust.hk)
- Connection security: SSL/TLS
- Authentication: OAuth2
- Outgoing Server
- Server Name: outlook.office365.com
- Port: 587

- Connection security: STARTTLS
- Authentication: OAuth2
- Incoming Server:
Outlook for Mac
- After migrated to Exchange Online, you will be prompted to restart your Outlook 1 to 2 times depending on your Outlook version.

Outlook for Mac
- In case you cannot access to your mailboxes after you entered the correct email address (account@ust.hk, instead of HKUST\account) and password, you will need to create a new Outlook profile or add the newly migrated account.

Apple Mail
- You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online. Please sign in with your email address/password (as well as 2FA sign in) and accept the permission request when prompted.
Outlook for iOS
- You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online:

Build-in iOS Mail App
- You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online:
- Please put your email address as the username and you may need to enter the server outlook.office365.com if prompted. Continue with 2FA sign in when prompted.
- Some iPhone user will need to restart their iPhone before you can access to your Inbox.
Outlook for Android
- You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online:
