How to set up an Exchange Account in Microsoft Outlook?

If your computer is newly installed with Microsoft 365:

  1. Start Outlook
  2. Enter your HKUST Email address (e.g. account@ust.hk)
  3. Select Microsoft 365 (apply to most of the users) or Exchange (for on-premises Exchange account) if it is prompted
  4. Enter your password
  5. Approve the 2FA with your mobile phone if it is prompted
  6. Select No, sign into the app only if it is prompted
  7. Add additional email address if it is necessary

If you need to manage your Outlook profile, e.g. adding a new profile:

  1. Invoke Outlook Mail Setup
    • If your Outlook - Microsoft 365 is running, select File --> Account Settings --> Manage Profiles
    • For another version of Microsoft Outlook, quit Outlook if it is running. Type Control Panel in the Widow's search box, and then type mail into the Control Panel's search text box. Double click on the Mail icon to open Outlook Mail Setup
  2. Select Show Profiles
  3. Click Add... to start the configuration of a new Exchange account.
  4. Enter a Profile Name (e.g. Exchange Online) and click OK
  5. The Auto Account Setup window will display. Enter your full name in the "Your Name:" field, your HKUST email address in the "E-mail Address:" field and your ITSC Network account password in the "Password:" / "Retype Password:" fields. Click Next.
  6. Select Work or school account if it is prompted
  7. Enter your password
  8. Approve the 2FA with your mobile phone if it is prompted
  9. If you e-mail account is successfully configured, click the Finish button to complete your account configuration.
  10. Remember to select your newly added profile, "Exchange Online" in our example, from the drop-down menu "Always use this profile" unless you prefer the other "Prompt for a profile to be used" option. Click OK to close the Mail configuration window.
  11. Open Microsoft Outlook and the mail on the Exchange server will then download to your Outlook client.
  12. You will need to wait for a couple of minutes after created a new Outlook profile. Please be patient and wait for Outlook to finish its configuration and downloaded your emails.
