Tips to access your email after Modern Authentication is enforced

You are advised to:

  1. Before modern authentication is enforced, make sure your devices meet the minimum requirements. Please switch to the supported versions in advance in order to avoid prolonged interruptions.
    • Desktops:
      • Windows 10
      • MacOS 10.14 or above
    • Mobiles
      • iOS 11.3.1 of above
      • suggest Android 8.0 or above
  2. After the cutover, you may be prompted to re-logon, or reconfigure your email client from scratch. please re-create your email account in the support apps if necessary:
    1. Remove your email account with your email apps
    2. Add your email account again
  3. Access to Outlook on the web for casual or emergent needs, either from your desktop or mobile web browser.

In case you will beed to specify the outgoing email server, please use the following SMTP server as below:

  • Server: smtp.office365.com
  • Port: 587
  • Encryption method: STARTTLS
  • Authentication Method: OAuth2

Supported Apps

Apart from Outlook and Apple mail, other email clients may not work anymore after modern authentication is enabled (although latest version of built-in Android Mail App might work). You are highly advised to switch to use the supported email apps now.


The advantage of using these apps is that they support Two Factor Authentication (2FA). After modern authentication is enforced, your mailbox is fully protected against the risk of password leakage.

When setting up a new email app, you will just need to approve the sign-in request with 2FA (using your mobile device, etc.), for one time only, per application per device (e.g. perform 2FA for both Mail for iOS and Outlook for iOS if they need to set up on the same mobile). You may consider to reset your password after modern authentication is enforced. After your password has been changed, please refer to the webpage Reminders after Password Change if necessary.

Outlook for Windows

  • If your Windows machine has joined the HKUST Windows Domain and you cannot access to your mailboxes using your email address and password, you will need to create a new Outlook profile or add the newly migrated account.
    • If the migrated account is the primary account in your Outlook, create a new Outlook profile. (With Outlook 365, you can also manage your profile via File --> Account Settings --> Manage Profiles)
      1. Add additional accounts if necessary
      2. Remove the old profile and data files if necessary (e.g. you want to free up your local disk spaces).
    • ​If the migrate account is not the primary account, you can just remove the pervious email account and add the newly migrated email account again.
      1. Open Outlook
      2. Select File
      3. Select Account Settings...
      4. Use New... to add or Remove... to delete an email account
  • During the first sign in, please put your email address / password and then approve the 2FA sign in request when prompted.

Outlook for Mac

  • In case you cannot access to your mailboxes after you entered the correct email address and password, you will need to create a new Outlook profile or delete and then add your account again.
  • During the first sign in, please put your email address / password and then approve the 2FA sign in request when prompted.

 Apple Mail

  • You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online. Please sign in with your email address/password (as well as 2FA sign in) and accept the permission request when prompted.

Outlook for iOS

  • You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online:
  • During the first sign in, please put your email address / password and then approve the 2FA sign in request when prompted.

Build-in iOS Mail App

  • You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online:
  • Please put your email address as the username and you may need to enter the server outlook.office365.com if prompted. Continue with 2FA sign in when prompted.
  • Some iPhone user will need to restart their iPhone before you can access to your Inbox.

Outlook for Android

  • You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online:
  • During the first sign in, please put your email address / password and then approve the 2FA sign in request when prompted.

Gmail App

  • You might need to remove the Gmail app and then re-install the latest Gmail app again
  • You will need to remove your existing account and add a new Exchange account after migrated to Exchange Online.
     
    To remove an existing account:
    1. Select Settings of your Android device
    2. Select Accounts
    3. Select the account to be remove
    4. Tab REMOVE ACCOUNT
       
    Setup an Exchange account with your Gmail app:
    1. Open Gmail app
    2. Select Settings
    3. Select Add account
    4. Select Exchange and Office 365
    5. Input your email address and your password e.g. email account: usera@ust.hk
    6. Continue with 2FA sign in when prompted.
    7. Click Accept when prompted for Permission requested
    8. Follow the intuitive online instructions to complete the remaining setup
